Sales and Marketing Coordinator needs to have the able to handle and prioritize multiple tasks, be a forward thinker in anticipating needs of the clients, strategic thinker and good listener in their efforts to uncover new avenues for drawing in new cliental. They must work with both the sales teams and marketing team to ensure that they are promoting the business and communicating with clients in the most efficient, effective way. They help coordinate and create marketing plans and campaigns, and they often work with the design team to develop up-to-date marketing ads and brochures. They also make sure that the website is promoting the company’s services and products as effectively as possible.

Key Responsibilities:

  • Implements marketing and advertising campaigns by assembling and analyzing sales forecasts; preparing marketing and advertising strategies, plans, and objectives; planning and organizing promotional presentations; updating calendars.
  • Enter, retrieve, reconcile and verify information (commissions, leads, third parties) in software involved in sales process.
  • Prepare sales related documents throughout sales process (proposals, contracts, sales kits, brochures, promotional materials)
  • Solicit sales for the property through planned, personal calls and telephone solicitations to local trade and professional associations/corporations, travel agents, as well as other local and state organizations that could result in potential business for the hotel.
  • Maintain an updated sales filing system which includes an efficient file and central trace system, an up-to-date account history and a means for sending correspondence to customers / prospects without delay.
  • Maintain and regularly update files of competitor’s activities, prices, menus, brochures, sales kits, etc.
  • Provide regular insights gained from social media monitoring to the Marketing Manager and senior management to help them evolve strategies in a timely fashion.
  • Work collaboratively in the execution of email marketing campaigns that drive revenue, increase engagement and support hotel goals.

  • Provide administrative support for sales staff and managers.
  • Organize and distribute periodic sales reports and project files.
  • Maintain and coordinate the distribution of company announcement materials.
  • Assist sales with the preparation sales proposals.
  • Coordinate customer proposals and bid information to appropriate project staff member.
  • Connect with people in a meaningful way, actively listen and apply tele sales techniques to capture transient and outside sales. Know your VIPs and frequent guest program members to effectively apply perks and preferences.A high school education or equivalent is required, with further education helpful. Previous data entry and telephone experience also is helpful. The ability to access, retrieve and leverage info from the hotel property management system is expected. The ability to make accurate, efficient entries into the reservations system is essential. Must possess excellent verbal and written English communication skills. The ability to operate a telephone, computer and various software such as Microsoft Word, Excel and ISAC is expected.
