Since opening its doors in 1912, The Adolphus has served as an icon of Dallas and an integral part of the City’s history and culture. Situated on the original site of City Hall, the hotel was modeled after a beaux arts German castle. In its recent restoration and renovation, the hotel’s storied past is both celebrated and reimagined. There is a sense of discovery at every turn.

Group Rooms Coordinator needs to have an eye for detail; anticipate, foreshadow and take the group experience from the hand off from the sales department to execution.  A sharp memory is a must and the ability to make quick decisions in the moment.  You understand the sense of urgency and needs of our group guests and love the challenge of making the most out of each group to assist with hotel profit and sales goal wins.  This is a stepping stone to an incredible opportunity to gain sales knowledge and impact the bottom line.

Key Responsibilities:

  • Connect with people in a meaningful way, actively listen and apply tele sales techniques to capture transient and outside sales. Know your VIPs and frequent guest program members to effectively apply perks and preferences.
  • Keep a pulse on room availability and the wait list, offering alternate arrangements on closeout dates. Resourcefully fill and block rooms, communicating updates and difficulties, and ensuring group cover accuracy and entry.
  • Manage group blocks to ensure contracted parameters are met in all appropriate systems.
  • Lead group pick up meeting by following up on cut off dates, room overages and communicating pick up
  • Communicate billing to front office and accounting
  • Reconcile final pick up with all invested parties including, but not limited to Sales, Accounting, CS, and meeting planners
  • Responsible for making accurate, efficient entries into the reservations system.
  • Access, retrieve and leverage information from the hotel property management system to make appropriate decisions.

Experience, Skills and Knowledge

  • High school or college education is preferred
  • Data entry and telephone experience is required
  • Ability to work independently using good judgment and as part of a team
  • Previous Marriott or Starwood experience is preferred.
  • Excellent interpersonal, verbal, and written communication skills
  • Ability to maintain exceptional degree of discretion regarding confidential information
  • The ability to operate a telephone, computer and various software such as Microsoft Word, Excel and MARSHA, Opera and CI/TY Marriott systems is highly preferred.
